These website terms do not replace the written proposal, repair agreement, installation agreement, change order, warranty document, Wellness Plan agreement, financing agreement or other project-specific contract governing work performed by 617 HVAC LLC. If a project-specific agreement conflicts with these general website terms, the project-specific agreement controls for that project.
By accessing or using this website, you agree to these Website Terms & Conditions. If you do not agree, do not use the website. These terms apply to residential and commercial website users.
1.2 Website information is general information
Website content is provided for general educational and informational purposes. HVAC symptoms can have different causes, and website information is not a diagnosis, engineering determination, environmental assessment, medical conclusion or substitute for an on-site evaluation.
Articles, videos, photographs, diagrams, pricing examples, case examples and service descriptions may not apply to every property, system or condition. Recommendations require evaluation of the actual equipment, building and approved scope.
1.3 Website use does not create a service relationship
Using the website, submitting a form, requesting an appointment or receiving an automated message does not by itself create a contractor-customer relationship or obligate 617 HVAC LLC to accept a project.
A service relationship begins only after 617 HVAC LLC accepts the request and the parties approve the applicable booking terms, proposal, authorization or service agreement.
1.4 Scheduling requests and estimates
Online and telephone scheduling requests are subject to confirmation. Appointment availability depends on existing commitments, service urgency, customer location, weather, equipment, access and technician availability.
Estimates and assessments may be offered without charge or may require a disclosed fee, depending on the service, project and current offer. Any required fee will be disclosed before the appointment is confirmed.
Unless a written proposal states otherwise, estimates and proposals remain valid for 30 days. Prices and availability may change after that period.
1.5 Written approval controls the work
617 HVAC LLC provides a written scope and price for approval before covered repair or installation work begins. Additional work, material changes or customer-requested revisions require additional approval where applicable.
Concealed conditions, unsafe conditions, inaccessible equipment, code requirements, permit or inspection requirements, unavailable materials, additional failed components and changes requested by the customer may affect price, scope or schedule as documented in the applicable agreement or change order.
1.6 Service availability and territory
617 HVAC LLC is based in Arlington, Massachusetts and serves residential and commercial customers throughout Eastern Massachusetts. Availability varies by location, project type, scheduling, technician coverage and operating conditions. A location appearing on the website does not guarantee acceptance of every service request in that location.
1.7 No 24-hour emergency service
617 HVAC LLC does not represent that it operates a 24-hour emergency-service program. Normal service hours are 6:00 a.m. to 8:00 p.m. daily, subject to change.
617 HVAC LLC aims to have a technician arrive within 24 hours after a service request is accepted, but this is a service target—not a guarantee. Arrival depends on existing appointments, location, weather, system conditions, technician availability and other circumstances.
For a fire, suspected gas leak, carbon-monoxide alarm, medical emergency or other immediate threat to life or property, leave the affected area when appropriate and contact 911, the fire department, the gas utility or another appropriate emergency authority. Do not rely on this website or 617 HVAC LLC's ordinary service channels for emergency assistance.
1.8 Project photographs, video and technical documentation
617 HVAC LLC may document equipment, ductwork, system conditions, readings, diagnoses and completed work through photographs, video, audio-free recordings, measurements and written records.
This material may be retained as part of the property's private service history and may be used in de-identified form for training, education, website content, social media and marketing. 617 HVAC LLC will not knowingly publish customer names, addresses, recognizable people, family photographs, personal documents, security information or other identifying personal material without separate permission.
Customers may opt out of public or marketing use by calling, texting or emailing 617 HVAC LLC before publication. An opt-out does not prevent 617 HVAC LLC from creating or retaining documentation needed for service history, warranty administration, safety, accounting, legal compliance or internal operations.
1.9 Intellectual property
The website and its original text, graphics, photographs, videos, designs, branding, logos and other content are owned by or licensed to 617 HVAC LLC and are protected by applicable intellectual-property laws.
You may view and print reasonable portions for personal, noncommercial use. You may not reproduce, republish, sell, modify, scrape, systematically download, train a commercial model on, remove attribution from or commercially exploit website content without written permission.
Manufacturer names, program names and third-party marks belong to their respective owners. Their appearance does not imply endorsement beyond an expressly stated relationship.
1.10 Prohibited website use

1.12 Website availability and accuracy
617 HVAC LLC works to keep website information accurate and available but does not guarantee that the website will always be uninterrupted, error-free or current. Website content may be corrected, updated or removed.
Rebates, tax incentives, financing, manufacturer programs, equipment availability and utility requirements are controlled by third parties and may change. 617 HVAC LLC may assist with information or documentation but does not guarantee third-party approval, funding or payment.
1.13 Disclaimers and limitation of liability
To the extent permitted by law, the website is provided on an "as available" basis without warranties concerning uninterrupted operation or the completeness of general website information.

These website terms are governed by Massachusetts law, without regard to conflict-of-law principles. The website terms do not impose mandatory arbitration. Any dispute concerning actual HVAC work remains subject to the applicable signed service or installation agreement.
1.15 Changes to these terms
617 HVAC LLC may update these terms as its website, services, technology or legal obligations change. The effective date and version will be updated when changes are published. Material changes may also be communicated through the website, email or another reasonable method where appropriate.
This Privacy Policy describes personal information collected through the 617 HVAC LLC website, scheduling and service-request processes, digital communications and related business operations.

Through QuoteIQ or another approved customer and field-service platform;
Through Stripe or another approved payment provider;
From technicians and project documentation;

From manufacturers, rebate administrators, utilities, inspectors, permitting authorities or other organizations involved in an approved project.
2.4 How information is used
617 HVAC LLC may use information to:
Respond to questions and service requests;
Schedule, dispatch and perform work;
Prepare estimates, proposals, agreements and invoices;
Maintain equipment and property service history;
Administer warranties and customer support;
Coordinate permits, inspections, testing, rebates and manufacturer registration;
Process payments and prevent fraud;
Communicate about appointments, projects and account matters;
Send optional marketing communications with consent;
Operate, secure and improve the website;
Measure advertising and website performance;
Develop de-identified education, training and marketing content;
Meet accounting, regulatory and legal obligations; and
Protect customers, employees, the company and the public.
2.5 When information may be disclosed
617 HVAC LLC does not sell or rent customer personal information.
Information may be disclosed only as reasonably necessary to operate the business or complete approved work, including to:

Scheduling and customer-management platforms;

Mass Save, utilities, rebate and incentive administrators;
Financing providers selected by the customer;
Permitting authorities, inspectors and other government agencies;
Professional advisers, insurers and auditors; and
Law enforcement or other parties when required by law or reasonably necessary to protect legal rights or safety.
These parties receive only the information reasonably needed for the applicable purpose. Their handling of information may also be governed by their own privacy terms.
2.6 Analytics and advertising
With the visitor's cookie choice, 617 HVAC LLC may use Google, Meta, TikTok and other analytics, advertising, conversion-measurement, retargeting and call-tracking services. These providers may collect identifiers and information about website interactions to measure campaigns, understand website use and present relevant advertising.

617 HVAC LLC generally retains customer, project, invoice, warranty, equipment and service-history records for at least seven years. Records may be kept longer when reasonably necessary for an active customer relationship, warranty, accounting, regulatory obligation, legal claim, safety issue or legitimate business need.
Marketing preferences and suppression records may be retained as needed to honor opt-out requests.
2.8 Privacy choices and requests
Customers may contact 617 HVAC LLC to:
Correct inaccurate contact information;
Ask how their information is used;
Opt out of optional marketing;
Opt out of public or marketing use of de-identified project documentation;
Request deletion of information not required for service, warranty, accounting, regulatory or legal purposes; or

617 HVAC LLC uses reasonable administrative, technical and physical safeguards appropriate to the information it handles. No website, transmission or storage system can be guaranteed completely secure.
2.10 Children
The website is intended for property owners, occupants, property managers and other adults seeking home or commercial services. It is not directed to children under 13, and 617 HVAC LLC does not knowingly collect personal information from children under 13 through the website.
2.11 Privacy-policy updates
This Privacy Policy may be updated as technologies, providers, business practices or legal obligations change. The current version and effective date will appear on this page.

When a customer submits a service request or provides contact information, 617 HVAC LLC may respond by telephone, email or text regarding that request, including scheduling, arrival, project, payment, warranty and follow-up communications.
Permission to respond about a requested service does not by itself authorize unrelated marketing.
4.2 Optional marketing communications
Visitors may separately choose to receive promotional email and text messages concerning seasonal reminders, services, offers, rebates, educational content and company updates.
Marketing consent is optional, is not a condition of purchasing or scheduling service and must be affirmatively provided. Message frequency varies. Message and data rates may apply.
An opt-out from marketing does not prevent necessary service, safety, transaction or account communications related to an active request or project.
4.4 Message delivery
Wireless carriers and communication providers are independent. 617 HVAC LLC does not guarantee message delivery, timing or availability and is not responsible for carrier charges or network failures.
Customers are responsible for providing a number and email address they are authorized to use and for notifying 617 HVAC LLC if that information changes.
4.5 Call recording
617 HVAC LLC does not currently represent that all calls are recorded. It may record calls in the future for quality assurance, training, documentation or customer service only after providing legally required notice and obtaining any consent required by applicable law.
5. SCHEDULING, CANCELLATION, PAYMENT AND REFUND POLICY
5.1 Appointment confirmation
An appointment request is not confirmed until accepted by 617 HVAC LLC. Customers may request, cancel or reschedule appointments by calling, texting or emailing the company.
5.2 Reservation deposits
Certain repair visits may require a $50 reservation deposit when disclosed during booking. A deposit is not required for every repair visit.
When collected, the $50 reservation deposit is:
Applied according to the repair-visit pricing disclosed at booking;
Nonrefundable if the customer cancels; and
Transferable without penalty when the customer reschedules or moves the appointment.
5.3 Cancellations, rescheduling and unavailable access
Customers should notify 617 HVAC LLC as soon as reasonably possible if an appointment must be cancelled or moved.
If the customer communicates and a legitimate issue prevents access, 617 HVAC LLC may reschedule the appointment and transfer an applicable deposit. If the technician arrives and the customer has not communicated or cannot provide agreed access, 617 HVAC LLC may treat the appointment as a cancellation or missed visit.
617 HVAC LLC may waive or modify a cancellation consequence based on documented circumstances.
5.4 Service pricing and authorization
Repair-visit pricing, diagnostic charges, mobilization charges and other service pricing are disclosed on the applicable pricing page, booking communication or service agreement. The active written pricing presented to the customer at booking or approval controls.
The customer must approve repair or additional work before that work begins. Installation payment schedules and deposits are governed by the written proposal or installation agreement.
5.5 Payment methods
617 HVAC LLC may accept major credit and debit cards, ACH, checks, cash, Venmo, Cash App, supported digital wallets such as Apple Pay and Samsung Pay, and other payment methods approved by the company.
617 HVAC LLC does not charge a credit-card processing surcharge under the current policy. Payment options may vary by transaction or platform.
5.6 Payment due dates and late fee
Payment is due according to the applicable invoice, proposal or agreement.
An invoice that remains unpaid 30 days after its due date may incur a one-time fee equal to 5% of the unpaid balance, capped at $150. The fee does not compound or recur monthly.
A late fee will not be applied to an amount subject to a good-faith written dispute while 617 HVAC LLC is reasonably reviewing that dispute.
5.7 Returned or rejected payments
A returned check, rejected ACH transaction, reversed payment or other failed payment may incur a fee of up to $35, subject to applicable law and reasonable processing and administrative costs. 617 HVAC LLC retains any additional rights provided by applicable law for unpaid dishonored payments.
5.8 Refunds
Refund eligibility depends on the applicable booking terms, written proposal, service agreement, work performed, materials ordered, approved change orders and payment method.
Completed diagnostic, assessment, repair, installation or other service work is not refundable merely because the customer later changes their mind. Nothing in this policy limits a valid warranty claim, a legally required refund or rights arising from work not performed as agreed.
Approved refunds will ordinarily be returned through the original payment method when reasonably available. Processing time may depend on an independent bank or payment provider.
5.9 Changes by 617 HVAC LLC
617 HVAC LLC may need to reschedule due to weather, emergencies, illness, equipment availability, prior appointments or circumstances beyond reasonable control. The company will communicate and offer a replacement appointment as reasonably practicable.
Unless a written agreement provides greater coverage, 617 HVAC LLC provides a one-year labor and workmanship warranty on qualifying repairs and installations, beginning on the documented completion date.
This warranty applies to defects in 617 HVAC LLC's covered labor or workmanship within the approved scope. It does not make 617 HVAC LLC responsible for every later failure of the equipment or property.
6.2 Manufacturer warranties
Parts and equipment may carry separate warranties established and administered by their manufacturers. Manufacturer terms, eligibility, registration, exclusions and claim approval control manufacturer coverage.
During 617 HVAC LLC's first-year labor warranty, if the manufacturer approves a covered part replacement, 617 HVAC LLC will replace that covered part without charging the customer for the manufacturer-provided part or the covered replacement labor.
After 617 HVAC LLC's one-year labor warranty expires, a manufacturer-approved part may remain available without charge under the manufacturer warranty, but diagnosis, travel, labor, materials and related replacement costs are billable unless another written warranty applies.
6.3 Warranty-claim procedure
To request warranty service, the customer must:
Notify 617 HVAC LLC promptly at (617) 835-8058 or [email protected];
Identify the property, equipment and prior work;
Provide reasonable access and relevant documentation; and
Give 617 HVAC LLC a reasonable opportunity to inspect and correct covered work before another contractor alters it.
If a genuine emergency requires immediate third-party action, the customer should document the condition and work and notify 617 HVAC LLC as soon as reasonably possible.
6.4 Exclusions
Unless expressly covered in writing, the warranty does not cover:
Unrelated or pre-existing conditions;
Normal wear, maintenance items or consumables;
Misuse, abuse, neglect or failure to follow operating instructions;
Lack of required maintenance;
Utility interruption, power problems, flooding, water intrusion, fire, weather, pests or other external causes;
Defects in customer-supplied or third-party equipment;
Manufacturer defects not accepted under the manufacturer warranty;
Code corrections or concealed conditions outside the approved scope;
Damage caused by another contractor, owner or third party; or
Work for which the customer has not paid the amounts properly due.
Work by another contractor voids warranty coverage only for the work, component or failure affected by that alteration. It does not automatically void unrelated 617 HVAC LLC warranty coverage throughout the system.
6.5 Available remedy
For a valid workmanship claim, 617 HVAC LLC will determine the appropriate covered correction after inspection. To the extent permitted by law, correction of the covered work is the warranty remedy. Nothing in this section limits rights that cannot legally be limited.
The complete warranty delivered with a repair or installation controls if it provides more specific or additional terms.
Promotions apply only to the services, customers, properties, dates and conditions stated in the applicable offer. Eligibility may depend on equipment, system design, utility territory, installation conditions, approved scope, account status and other disclosed requirements.
Unless an offer expressly states otherwise:
Promotions have no cash value;
Discounts do not apply to previously approved or completed work;
Promotions cannot be combined with other 617 HVAC LLC promotions or discounts;
Third-party rebates and incentives remain subject to third-party approval;
Nonstandard work and excluded conditions are priced separately; and
Customer eligibility is confirmed in the written proposal.
617 HVAC LLC may modify or discontinue an offer prospectively. A modification will not remove an offer expressly incorporated into a written proposal accepted while that offer was available.
7.2 Included heat-pump water-heater offer
For qualifying new whole-home and partial-home heat-pump installation projects, 617 HVAC LLC currently includes a heat-pump water heater and standard installation at no additional charge.
The offer:
Applies only to a qualifying new heat-pump installation approved by 617 HVAC LLC;
Does not apply to replacement of an existing heat-pump system unless expressly stated in writing;
Includes only the equipment and standard installation described in the written proposal;
Excludes electrical-service upgrades, substantial wiring, major plumbing relocation, structural modifications, hazardous-material work, code corrections and other work beyond standard installation;
Has no scheduled expiration date;
May be combined with applicable Mass Save and manufacturer incentives; and
May not be combined with other 617 HVAC LLC promotions or discounts.
Final eligibility, equipment, scope and exclusions will appear in the written proposal. Mass Save, utility and manufacturer incentives are controlled by the applicable third party; 617 HVAC LLC does not guarantee their approval or payment.
7.3 Financing
Financing may be offered through independent third-party providers when available. Financing is subject to application, approval, credit criteria and the provider's terms. 617 HVAC LLC does not currently promise that a particular financing provider or product will be available.
617 HVAC LLC is committed to making its website and service information usable by people with disabilities. The company works to improve keyboard navigation, readable contrast, text alternatives, form instructions, headings and compatibility with assistive technology, with WCAG Level AA used as an accessibility goal where reasonably applicable.
